Terms of Service

Effective July 16, 2026

These terms are the agreement — the end-user licence agreement, if you arrived here looking for an EULA — between you and Vestry Accounting ("Vestry", "we") for the software at app.vestryaccounting.com. By creating a workspace or accepting an invitation into one, you agree to them. They're written to be read; if anything is unclear, ask us at hello@vestryaccounting.com.

1. The service

Vestry is fund-accounting software for churches and charities: a double-entry ledger, donor and giving records, donation receipts, payroll records, and reports, delivered as a web application. We grant you a non-exclusive, non-transferable right to use it for your organization's own bookkeeping while these terms are in effect. We don't grant you the right to resell it, copy it, or probe it for vulnerabilities outside a coordinated disclosure.

2. Accounts and workspaces

A workspace belongs to the organization it's created for. Workspace administrators control who can see and post to the books; you're responsible for the people you invite and the roles you give them, and for keeping your sign-in credentials to yourself. Tell us promptly if you believe an account has been compromised.

3. Your data is yours

Everything you or your integrations put into your workspace — accounts, transactions, donor records, receipts — belongs to your organization. We process it only to provide the service, as described in our privacy policy. You can export your records (CSV and PDF) at any time, and if you leave, we will make your data available for export for at least ninety days after your subscription ends before deleting it from production systems.

4. Connected services

Vestry can connect to third-party services you authorize — for example QuickBooks Online (Intuit) for migrating your books, or giving platforms for importing donations. Each connection is made with your explicit consent through that provider's own sign-in, is governed by that provider's terms, and can be disconnected by you at any time from Vestry's settings or from the provider's security page. We use these connections only to perform the work you initiate — we don't write data back to your other systems unless a feature says so plainly.

5. Fees

Paid plans are billed as described on our pricing page. Prices exclude applicable taxes. If a charge fails we'll tell you and retry before limiting access; we don't delete books over a billing hiccup.

6. What we promise — and what we can't

We work to keep Vestry available, accurate, and backed up, and we take that seriously. But the service is provided "as is": we can't warrant uninterrupted availability, and — importantly — Vestry is bookkeeping software, not professional advice. Filing obligations, CRA compliance, and the correctness of what gets posted remain your organization's responsibility and, where it matters, a question for your accountant or lawyer.

7. Limits of liability

To the maximum extent Manitoba law allows, our total liability for any claim arising from the service is limited to the amount you paid us in the twelve months before the claim, and neither of us is liable to the other for indirect or consequential damages. Nothing in these terms limits liability that cannot lawfully be limited.

8. Ending the agreement

You can stop using Vestry and close your workspace at any time. We can suspend or end service for abuse, non-payment, or unlawful use, with notice where practicable. Sections 3, 6, and 7 survive termination.

9. Changes and governing law

If we change these terms in a way that matters, we'll notify workspace administrators by email or in the app before the change takes effect. These terms are governed by the laws of Manitoba and the federal laws of Canada applicable there, and disputes belong to the courts of Manitoba.
